In certain circumstances, staff can keep their work email address after leaving UQ.

Retiring academics

If you're a retiring academic, you can keep your UQ email address. Ask your School Manager or HR manager to submit an IT request with your:

  • name
  • staff number
  • UQ account username
  • a note that you are a retiring academic.

ITS will make sure your email service is not affected. Accounts with no activity for 12 months will be closed.

This only applies to retiring academics. Other academic staff who leave UQ are not entitled to keep their UQ email address.

HDR students with staff accounts

If you're an HDR student who also has a UQ staff account, you can keep your staff email address after your employment ends if you remain enrolled in your HDR program.

Submit an IT request with:

  • your name
  • your student number
  • your UQ staff and student account usernames
  • a note that you are a postgraduate HDR student.

ITS will make sure your email service is not affected. Your staff account will be closed automatically when your enrolment ends. 

UQ positions not recorded in Aurion

If you're staying at UQ but moving into a paid or unpaid position not recorded in Aurion, HR can apply to keep your staff account active.

Ask your HR officer to submit an IT request with your:

  • UQ account username
  • end date for your account
  • their authorisation for your account to stay active.

Other reasons to keep your email

If you think you are entitled to keep your UQ email address for other reasons, ask your department manager to submit an IT request with their authorisation. We can offer further clarification or help.
